Refund & Rescheduling Policy

1. Introduction
This Refund & Rescheduling Policy explains how refunds, rescheduling requests, course transfers, and payment disputes are handled by RCM Online College Limited, trading as RCM Online College.
This Policy applies to course purchases made through our website, mobile applications, student portal, WooCommerce checkout, M-Pesa, bank transfer, Google Play Billing, Apple In-App Purchases, or any other approved payment channel.
2. General Refund Policy
Once a student has enrolled in a course, purchased a course, or gained access to course materials, course fees are generally non-refundable.
This is because RCM Online College provides digital learning services, including access to online classes, course notes, recorded lessons, live classes, downloadable materials, tutor support, assessments, certificates, and student community features.
3. Rescheduling Within 7 Days
A student may request to reschedule to a future class, intake, or course session only if the request is submitted within seven (7) days of enrollment or purchase.
Rescheduling is subject to:
- Course availability.
- Class or intake availability.
- Administrative approval.
- Payment confirmation.
- Applicable academic requirements.
- Any difference in course fees, where applicable.
4. Situations Where Refunds Will Not Be Issued
Refunds will generally not be issued where:
- The student has already been enrolled in the course.
- The student has accessed course materials.
- The student has downloaded notes, videos, PDFs, assignments, or other learning resources.
- The student has attended live classes or Zoom sessions.
- The student has participated in forums, groups, or course discussions.
- The student has attempted or completed quizzes, assignments, or assessments.
- The student has received or become eligible for a certificate.
- The request is made after the 7-day rescheduling window.
- The student failed to attend classes due to personal reasons.
- The student failed to use the course access within the allowed access period.
- The student’s account was suspended for violating RCM Online College policies.
5. Course Access Period
Unless otherwise stated, course access is granted for approximately three (3) months from the date of enrollment, purchase, or activation.
Students are responsible for using the course within the access period. Failure to complete a course within the access period does not automatically qualify the student for a refund, extension, or free rescheduling.
6. Missed Classes
Students are responsible for attending scheduled live classes, Zoom sessions, webinars, tutorials, or revision sessions.
Missed classes due to personal circumstances, internet issues, device failure, work commitments, travel, or failure to check the timetable do not qualify for a refund.
Where recordings, notes, or alternative learning materials are available, RCM Online College may provide access at its discretion, subject to course rules and access limitations.
7. Course Transfers and Intake Changes
RCM Online College may allow a student to transfer to another class, intake, or course only where administratively possible and approved by the institution.
Course transfer requests may be declined where:
- The request is made late.
- The requested course is unavailable.
- The student has substantially consumed the original course.
- The requested course has a different fee structure.
- The transfer would affect academic delivery or class allocation.
Where the new course costs more than the original course, the student may be required to pay the difference before transfer.
8. Google Play and Apple App Store Purchases
Where a course is purchased through Google Play Billing or Apple In-App Purchases, refund requests may also be governed by Google’s or Apple’s own refund policies and billing processes.
RCM Online College may not be able to directly reverse or refund payments processed entirely by Google or Apple. In such cases, students may be required to request refunds through their Google Play or Apple account.
Even where Google or Apple processes a refund request, RCM Online College may suspend or remove access to the related course, learning materials, certificates, or services.
9. M-Pesa, Bank Transfer, and WooCommerce Payments
For payments made through M-Pesa, bank transfer, WooCommerce checkout, or other approved direct payment methods, RCM Online College will review any refund or rescheduling request according to this Policy.
Students may be required to provide payment confirmation details, including transaction reference, payment date, phone number used, order number, student name, and course purchased.
10. Duplicate or Erroneous Payments
If a student accidentally makes a duplicate payment or pays an incorrect amount, the student should contact RCM Online College as soon as possible.
RCM Online College may review duplicate or erroneous payments and may, at its discretion, refund, credit, or apply the amount to another eligible course or service.
11. Chargebacks and Payment Disputes
If a student raises a payment dispute, reversal, or chargeback after receiving access to a course or service, RCM Online College may suspend access to the student account while the dispute is reviewed.
Where a chargeback or reversal is found to be improper, fraudulent, or inconsistent with this Policy, RCM Online College may restrict future purchases, recover outstanding amounts, or take further action permitted by law.

13. Processing of Requests
RCM Online College will review refund, rescheduling, transfer, or payment correction requests based on the information provided, course status, student activity, payment status, and applicable policies.
Submitting a request does not guarantee approval. Approval is at the discretion of RCM Online College and subject to the terms of this Policy.
14. No Guarantee of Refund or Extension
Unless expressly approved in writing by RCM Online College, payment of course fees does not guarantee a refund, extension, transfer, or rescheduling beyond the terms stated in this Policy.
15. Changes to This Policy
RCM Online College may update this Refund & Rescheduling Policy from time to time to reflect changes in our courses, payment methods, app store requirements, academic operations, or legal obligations.
The updated version will be posted on our website. Continued use of our services after changes are posted means you accept the updated Policy.
